We are seeking a detail-oriented Project Specialist to support the planning, execution, and closure of clinical research projects. In this role, you will assist with project initiation, scheduling, financial tracking, meeting coordination, and reporting, ensuring adherence to SOPs and timely delivery of project milestones. This position is ideal for an organized professional looking to build a career in clinical project management.
â° Shift:Â 12:30 PM to 9:30 PM
đ Key Responsibilities:
đ Project Initiation Management
- Set up project tools according to SOPs and work instructions (Project Management Plan, SOP list, TIME task codes, team list, Project View).
- Set up Project-Specific Training in the Learning Management System (LMS).
- Assist the Project Lead in creating initial schedules and resource plans in Project View.
- Support drafting of the Project Management Plan with coordinated input from cross-functional teams.
đ Project Execution and Control Management
- Maintain project schedules and resource plans, updating changes with input from the Project Lead.
- Prepare portions of monthly management and dashboard reports.
- Update and maintain project tracking databases and compile data for reports.
- Organize project correspondence and document storage.
- Provide technical support using Microsoft Word, Excel, ProjectView, and internal systems.
đ¤ Project Meeting Management
- Support preparation of materials for project meetings.
- Track and follow up on action items.
- Distribute agendas and minutes for internal and client meetings.
- Promote communication among team members.
đ° Project Financial Management
- Collate monthly project financial metrics.
- Review TIME reports against budgeted hours.
- Review and process pass-through cost invoices.
- Interact with Independent Consultants to collect timesheets and process payments.
đ Project Closure Management
- Collaborate with the Project Lead to ensure documents are archived and final work is handed over to the sponsor.
- Close all project systems and interfaces upon project completion.

- Initial years of experience in a similar role preferred.
- Extensive working knowledge of English.
- Bachelorâs degree in a science-related field (advanced degree desirable).
- PMP or equivalent certification desirable.
