About the Role
The Admin Assistant (AA) is a member of the Emerald Clinical Trials responsible for providing administrative support in a variety of capacities, including general office management responsibilities, scheduling, event/meeting planning, invoice/expense reporting and assisting HR and IT team in local level as well as assisting in the completion of specially assigned projects. As the central administrative point of contact for Korea team, the AA plays a vital role in ensuring smooth day-to-day operations. This position is essential in supporting the local team, liaising with vendors, and maintaining a well-functioning, clean, and organized work environment. The ideal candidate is detail-oriented, resourceful, and able to handle multiple priorities with professionalism and discretion.
Additionally, the AA is responsible for demonstrating professional demeanour and maintaining confidentiality in all interactions with both internal and external stakeholders.
Your Responsibilities
- Provide comprehensive administrative support to the local Emerald Clinical Trials team.
- Maintain a clean, organized, and safe office environment, including managing office stationery supplies.
- Liaise with company vendors to manage services, resolve queries, and maintain vendor relationships.
- Assist with onboarding and offboarding employees, ensuring a smooth transition process.
- Coordinat with and support the IT team on equipment-related requests.
- Assist with a range of finance-related tasks to ensure timely and accurate processing of payments, finance reconciliations, preparation of invoices, support bank payments in collaboration with regional finance.
- Update and maintain the annual company calendar and organize company events and Business Development (BD) activities.
- Assist with Legal and Quality Assurance (QA) activities as required.
- Organize storage spaces, locate and retrieve documents, and maintain proper records.
- Perform other ad hoc administrative duties as assigned by the local or regional leadership team.
- Support employees in group insurance enrolment and manage system update.
- Attend staff meetings as scheduled.
- Conducts all assigned tasks and adheres to company SOPs/guidelines and other regulatory guidelines.
- Perform other job functions or tasks as needed.

- Proven experience as an administrative assistant or in a similar role
- Experience supporting multiple stakeholders or departments
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Ability to multitask and prioritize effectively in a fast-paced environment
- Ability to work independently and handle confidential information
- Professional demeanor and strong interpersonal skills
