🎯 JOB OVERVIEW
We are seeking a detail-oriented and proactive Sales Operations Executive to ensure the efficiency, compliance, and continuous improvement of our Sales Department’s operational processes. You will be the operational backbone of the sales team—managing SOPs, reporting, pricing, administration, and team coordination to support Hartalega’s market leadership.
📋 KEY RESPONSIBILITIES
📈 Process Management & Compliance
- Manage the Sales Operation Process in accordance with established SOPs and Work Instructions (WI).
- Continuously review and improve existing SOPs/WI; create new documentation as necessary.
- Ensure departmental compliance with company quality certifications, ISO 140001, OHSAS 18001, and 5S standards.
- Handle internal and external audits, fire drill programs, and maintain all control documents.
📊 Reporting & Performance Tracking
- Prepare and maintain accurate KPI updates to track departmental achievements.
- Generate management reports, Customer Survey Analysis Reports, and Sales Operation meeting minutes.
- Manage the master price list with precision and ensure timely reporting.
👥 Team Coordination & Administration
- Assist in chairing weekly Sales Operation meetings and act as a liaison between sales teams and internal departments.
- Supervise, train, coach, and motivate Customer Assistants (NE6 and below).
- Plan annual training schedules and identify training needs for the team.
- Manage office administration, vendor contracts, expenditures, and glove sample inventory.
🔄 Project & Improvement Initiatives
- Lead yearly projects and new developments such as the Customer Requirement File.
- Drive Sales Operation improvement projects arising from Business Process Re-engineering (BPR) discussions.
- Support exhibitions and represent Sales Operations in cross-functional initiatives.
👤 YOUR PROFILE
✅ ESSENTIAL REQUIREMENTS
- Bachelor’s Degree in Sales, Marketing, Business Administration, or an equivalent field.
- Minimum 2 years of experience in sales operations, administration, or a similar role; fresh graduates with relevant internship experience are encouraged to apply.
- Strong analytical and management reporting skills; proficient with figures and data.
- Excellent negotiation and liaison skills, with the ability to interact professionally with competitors, suppliers, and internal stakeholders.
- Highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.

- Experience in manufacturing, FMCG, or healthcare supply chain operations.
- Knowledge of ISO standards, quality management systems, and process improvement methodologies.
- Proficiency in MS Office and experience with CRM or sales tracking systems.
