Support Global Clinical Research as a Part-Time Administrative Assistant

We are seeking a highly organized and proactive Administrative Assistant to be the central support for our local team. This part-time role (0.5FTE, 19 hours per week) offers flexibility in scheduling and is essential for maintaining smooth day-to-day operations, enabling our team to focus on advancing critical clinical research.
About the Role
The Administrative Assistant is a vital member of our team, providing comprehensive support across office management, scheduling, finance, events, and special projects. As the central administrative point of contact, you will ensure a well-functioning, organized work environment and act as a key liaison with vendors and internal stakeholders. Professionalism, discretion, and a keen eye for detail are paramount in this role.
This is a part-time position with flexible scheduling options.
Your Responsibilities
Office Management & Operational Support
- Maintain a clean, organized, and safe office environment; manage stationery and office supplies.
- Liaise with company vendors, manage service queries, and maintain positive vendor relationships.
- Assist with employee onboarding and offboarding, ensuring seamless transitions.
- Coordinate with the IT team on equipment requests and setup.
- Organize storage, retrieve documents, and maintain accurate records.
Finance, Scheduling & Event Coordination
- Support finance-related tasks: invoice preparation, payment processing, bank payments, and reconciliations in collaboration with regional finance.
- Update and manage the annual company calendar.
- Plan and organize company events, meetings, and Business Development (BD) activities.
- Assist with Legal and Quality Assurance (QA) documentation and processes as needed.
General Administrative Excellence
- Provide comprehensive administrative support to the local team.
- Support employees with group insurance enrolment and system updates.
- Attend and document staff meetings as required.
- Perform ad-hoc duties as assigned by local or regional leadership.
- Conduct all tasks in compliance with company SOPs and regulatory guidelines.
About You
Essential Qualifications:
- Proven experience as an administrative assistant or in a similar support role.
- Experience supporting multiple stakeholders or departments in a professional setting.
- Strong organizational skills with the ability to multitask and prioritize effectively in a fast-paced environment.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Ability to work independently, handle confidential information with discretion, and maintain a professional demeanor.
